Privacy Policy

Last updated 24 August 2026

This policy explains what personal data Unhinged holds, why we hold it, who we share it with, and how long we keep it. It covers the Discord bot and the admin panel at https://platform.unhingedbot.com.

Who is responsible

The data controller is Montague Monro, a sole trader in the United Kingdom, trading as "Unhinged". We give our postal address on request.

To ask about this policy, or to make any request about your data, email us at support@unhingedbot.com or contact us in our Discord support server. You do not need a Discord account to make a request.

What we hold

Unhinged is a guild bookkeeping tool, so most of what it holds is a record of what a guild did. We do not ask you for your real name, your email address or your postal address, and we hold none of them.

Your Discord identity
Your Discord user ID and your Discord username. We store the username twice, once globally and once per server, so a guild's records still name the right person after you change it.
Your Discord server
The server's Discord ID, its name, and the Albion Online guild ID an officer links it to.
Your Albion Online account
The Albion account ID and character names you register, so the bot can match killboard and loot-log entries to you.
Notes officers write about members
Officers can write free-text notes about a member, and reply to each other's notes. We do not read, filter or limit what they write. Other officers in the same server can see these notes. You can ask us for a copy of the notes about you.
Balances, loot splits and transfers
Your balance in each server, and every transfer: the amount, the sender, the recipient, an optional reason, who reversed or reviewed it, and when. These figures are in-game bookkeeping and are not money.
Admin panel access records
When an officer last opened a server's dashboard, so the panel can show what changed since. We record the Discord ID and the timestamps only. We do not log your IP address and we do not log your browser or device.
Billing identifiers
For a subscribing server, we hold the Stripe customer ID, subscription ID and price ID. That is all. Card details never reach our systems. Stripe collects and holds them, and Stripe holds the billing name and email you give it. Billing records belong to the server, not to a person. There is no per-member billing record.
In-game combat records
To verify who attended a call-to-arms, and what gear was lost, we read the public Albion Online killboard. Those records name the killer and the victim of each fight, with their guilds and alliances. This includes players who have never used Unhinged and who are in no server we serve. We rely on our legitimate interest in verifying a guild's own attendance and regear claims, and we take this data only from the public killboard, never from your game client.
Uploaded screenshots
Officers upload loot-log and chest-log screenshots. We keep the image, its filename, and the character names read out of it, because an upload is the evidence behind a loot split. We keep these for as long as the loot split record exists.

Why we are allowed to hold it

  • Contract. To run the service for a server that has subscribed, and to enforce its member limit.
  • Legitimate interests. To verify call-to-arms attendance and regear claims against the public killboard, to keep the evidence behind a loot split, to keep the service secure, and to prevent abuse.
  • Legal obligation. To keep payment and tax records.

Who we share it with

We use these processors, and no other. We sell your data to nobody, and we run no advertising.

  • Discord. The service runs inside Discord, so every message the bot sends passes through it.
  • Stripe. Payments, invoices and the billing portal.
  • Google Cloud. Hosting and the database.
  • The Albion Online public API and killboard. We read from these; we send them no personal data.

Where your data is stored

Our database and servers run in Google Cloud's us-central1 region, in the United States. Your data therefore leaves the United Kingdom and the European Economic Area. We rely on Google's standard contractual clauses, and the UK international data transfer addendum, as the safeguard for that transfer. Discord and Stripe are also United States companies and rely on equivalent safeguards.

How long we keep it

We would rather state this plainly than promise something the system does not do.

  • Removing a member does not delete their record. When an officer kicks or removes someone, we mark the membership as removed and keep the row, including the balance. This is deliberate: the balance and the registration history survive so that rejoining restores them, and so a guild's ledger stays complete.
  • The /purgeaccounts command sets balances to zero. It deletes nothing. Discord IDs, usernames and Albion links survive a purge.
  • Removing the bot from a server does not delete that server's data. The records stay in our database until we delete them on request.
  • Loot splits, transfers, uploaded screenshots and killboard records are kept as the record of what happened, with no fixed expiry.
  • Payment records are kept for as long as tax law requires, currently six years.

We are working to shorten this. Until then, ask us and we will delete what we can by hand.

Your rights

Under the UK GDPR you have the right to ask us for a copy of your data, to correct it, to erase it, to restrict or object to how we use it, and to receive it in a portable form.

We have no self-service export or delete button yet. Email support@unhingedbot.com or ask us in the support server and we will act by hand. We will reply within one month.

Two limits, stated honestly. Erasing you completely may not be possible while a guild's ledger still needs the record of a transfer you sent or received; where that applies we will remove what we can and tell you what stayed and why. And your Discord username and user ID come from Discord. Correct them there, and they update here.

If you are unhappy with how we handled your request, you can complain to the Information Commissioner's Office, the United Kingdom's data protection regulator, at ico.org.uk.

Cookies

This website sets no cookies and runs no analytics. The admin panel sets one sign-in session cookie, which is strictly necessary to keep you signed in. We use no advertising or tracking cookies anywhere, which is why you see no cookie banner.

Children

Unhinged is not aimed at children. You need a Discord account to use it, and Discord's own minimum age applies. If you believe a child's data is in our records, tell us and we will remove it.

Changes to this policy

We may change this policy. We will change the date at the top of this page when we do, and announce a material change in the support server.

Terms of Service

Our Terms of Service govern your use of the service, including subscriptions and cancellation.
